For federal, state and local government contractors

Your SAM registration expired on a Tuesday. The award went to someone else on Wednesday.

The contracting officer wants to award. She pulls up your entity in SAM.gov and it says inactive. She cannot award to an inactive registration and she cannot pay one, so she moves on; there is no phone call, because there is nothing she is allowed to do about it. The renewal reminder went to the address of someone who left the company a year ago.

What runs out, and on what clock

SAM.gov entity registration
Renewed every year. An inactive registration cannot receive a new award and payments stop — the bank details live there too.
Set-aside certifications
8(a), HUBZone, WOSB/EDWOSB and SDVOSB each carry their own annual or three-year review or recertification, with document requests along the way. Lose the status and you are ineligible for the set-asides you priced your pipeline on.
Contract-required insurance and bonds
Liability limits, workers' comp, performance and payment bonds — each contract specifies its own, and a lapse mid-performance is a compliance finding.
State and local vendor registrations
Every state portal and many cities keep their own registration with its own expiry, separate from SAM.
Proposal and bid deadlines
A proposal received a minute late is not evaluated, however good it is. Q&A cutoffs and amendment acknowledgments have their own dates.
Regulatory change
FAR and agency supplement changes, new clauses, new reporting — published in the Federal Register and easy to miss between proposals.

What it costs when one of them lapses

  • No award to an inactive SAM registration, and no payment on the ones you already hold until it is active again.
  • A set-aside certification that lapses turns eligible pipeline into pipeline you cannot bid.
  • A proposal rejected as late — months of capture work gone on a date.
  • Insurance or bond lapses that surface as contract compliance findings and past-performance marks.

What Lapseline does about it

Drop in the PDF or a phone photo; Lapseline reads the dates
Expiry date, issue date, issuer, holder and the certificate number are extracted from the document. Scans are OCR'd on our own servers and sensitive numbers are redacted before any AI model sees the text.
You confirm, then it reminds you — at 90, 60, 30 and 7 days, and once more if it lapses
Every extracted date carries a confidence score and is tracked only after you confirm it. Renew a document and the whole reminder cycle re-arms for the new date.
Opportunities and deadlines from SAM.gov
Search federal opportunities by keyword and state. The ones you track become deadlines in the same reminder schedule as your registrations and certificates.
Your subcontractors and teaming partners upload their own documents through a private link
No account, no software to learn on their side: they open the link, upload a PDF or photo, and you see a live rollup of who is compliant, who is expiring, and who has not sent anything.
Every Federal Register document is checked against your profile
About a hundred documents a day. Describe your business once — industry, keywords, the agencies and CFR parts that regulate you — and the rules, proposed rules and notices that match it appear on your Regulations page with a one-line reason.

An assistant, not a guarantee: every date is shown with a confidence score and tracked only after you confirm it, and renewals are still verified with the issuer.

Questions people in this trade ask

Does Lapseline renew my SAM registration?
No. It tracks the expiration date you confirm and reminds you at 90, 60, 30 and 7 days. Renewal is done in SAM.gov by your entity administrator.
Can I track the certifications my subcontractors hold?
Yes. Add each subcontractor as a vendor, list the documents you need from them, and they upload through a private link. You see who is current and who is not.
Do I have to type the dates in by hand?
Only if you want to. Upload the certificate as a PDF or a photo and the dates, issuer and number are extracted for you to confirm. You can also add a deadline by hand — a bid due date, a renewal you have not received the paper for yet — and it joins the same reminder schedule.
Are the renewal cycles on this page exact for my state?
No. Cycles differ by state, county and issuer, and they change. The values here are the common federal or typical ones, quoted to show how many separate clocks a business runs on. Lapseline tracks whatever date is on the document you upload; confirm the rule itself with the issuer.
Does Lapseline guarantee I will never lapse?
No, and be wary of anyone who says otherwise. Lapseline is an assistant: it reads your documents, shows you every date with a confidence score, tracks what you confirm, and reminds you on a schedule. Renewing is still your job, and you should verify renewals with the issuer.
